SUMMARY:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Administer fleet management functions through Ford Pro and Fleetio, including vehicle assignments, maintenance tracking, service scheduling, utilization monitoring, registration documentation, and record accuracy.
• Maintain current records for company assets, including fleet vehicles, mobile devices, P.O.S. devices, uniforms, computer equipment, specialty equipment, and tools.
• Coordinate the assignment, deployment, return, and replacement of company-issued assets and ensure proper documentation throughout each asset’s lifecycle.
• Monitor asset condition, readiness, and availability to support daily field and office operations, escalating repair, replacement, or compliance concerns when needed.
• Support mobile device and technology administration, including phones, tablets, mobile data applications, and related user coordination.
• Prepare accounts receivable packets, organize vendor receipts, and maintain open and closed invoice files in an accurate and timely manner.
• Support Permit Clerk duties, including preparing and processing permit-related paperwork and coordinating permit status updates as needed.
• Provide administrative support to other departments as assigned to help maintain efficient office and field operations.
• Other duties may be assigned.

QUALIFICATIONS:

• Must be willing to pursue and actively participate in continuing education and job-related training.
• Must be proficient in using office communication systems, including telephones, mobile text messaging, intercoms, and fax machines.
• Must be able to read and write English well enough to read and prepare invoices, time sheets, and proposals.
• Must be capable of applying sound business judgment, anticipating potential issues, and using problem-solving skills and software tools to identify effective solutions.
• Must be able to navigate mobile devices and mobile data applications (MDAs) confidently and efficiently in support of daily operations.

REQUIREMENTS:

• Education: A High School Diploma or GED.
• A minimum of two years of experience, including hands-on training and/or work in dispatch, telephone sales, asset administration, fleet coordination, or related operational support functions.
• Experience working with mobile devices, including phones, tablets, and mobile data applications (MDAs), is strongly preferred.

SCHEDULE:

• Monday through Friday, 7:30 am – 4:30 pm, with a one-hour lunch each day.
• This position works indoors, and may be called upon to be at customer or service production sites on an as-needed basis. The noise level in the work environment is usually moderate.

RESPONSIBILITIES:

• Meet daily revenue and sold-hour goals by prioritizing urgent and profitable calls.
• Relay accurate information to technicians to ensure proficient and quality customer experiences.
• Manage the whereabouts and needs of every technician in the field.
• Record the results of each service call and create report summaries for senior management.
• Maintain professionalism and establish customer rapport to encourage repeat business.
