Asset Management Administrator+

SUMMARY:
The Asset Management Administrator is responsible for coordinating and maintaining company assets with a primary focus on fleet administration. This position manages vehicle-related records through the current Ford Pro and Fleetio applications, supports vehicle readiness, tracks utilization, coordinates maintenance needs, and ensures accurate documentation of company vehicles and assigned assets. The role also supports the acquisition, assignment, deployment, monitoring, and recovery of company-issued equipment used by Allens Plumbing Inc. employees. Company assets include, but are not limited to, fleet vehicles, technician mobile devices (phones, tablets, and P.O.S. devices), uniforms, computer equipment, specialty equipment, and tools.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Administer fleet management functions through Ford Pro and Fleetio, including vehicle assignments, maintenance tracking, service scheduling, utilization monitoring, registration documentation, and record accuracy.
- Maintain current records for company assets, including fleet vehicles, mobile devices, P.O.S. devices, uniforms, computer equipment, specialty equipment, and tools.
- Coordinate the assignment, deployment, return, and replacement of company-issued assets and ensure proper documentation throughout each asset’s lifecycle.
- Monitor asset condition, readiness, and availability to support daily field and office operations, escalating repair, replacement, or compliance concerns when needed.
- Support mobile device and technology administration, including phones, tablets, mobile data applications, and related user coordination.
- Prepare accounts receivable packets, organize vendor receipts, and maintain open and closed invoice files in an accurate and timely manner.
- Support Permit Clerk duties, including preparing and processing permit-related paperwork and coordinating permit status updates as needed.
- Provide administrative support to other departments as assigned to help maintain efficient office and field operations.

This position will assist the Lead Service Technician in all aspects of their work.
